How to Handle Fleet Maintenance Contracts in Kenya

How to win and manage fleet maintenance contracts with corporate clients, matatu SACCOs, and logistics companies.

Fleet contracts are the most stable revenue a Kenyan garage can have. One signed contract can keep three bays busy for a year.

They are also the most demanding customers. Here is how to handle them.

Who buys fleet maintenance

The main fleet buyers in Kenya:

  • Corporate vehicle fleets (banks, telcos, logistics)
  • Matatu SACCOs
  • Boda boda and courier companies
  • NGOs and government agencies
  • Car hire and taxi companies

Each has different priorities. Corporates care about uptime and compliance. SACCOs care about cost. NGOs care about audit trail.

What the contract usually covers

A typical fleet contract includes:

  • Scheduled servicing per manufacturer intervals
  • Breakdown response and roadside assistance
  • Pre-trip inspections
  • Minor repairs at an agreed rate card
  • Major repairs quoted per job
  • Consolidated monthly invoicing
  • Fleet-level reporting

Not every contract includes everything. Read the terms carefully before signing.

Pricing for fleets

Do not offer fleet pricing based on the same rates as retail. Volume discounts are expected, but only where you can afford them.

The discount should come from reduced cost, not reduced margin:

  • Fleets mean less marketing, lower cost to acquire
  • Predictable volume means better parts purchasing
  • Consolidated invoicing means fewer transactions

If those savings do not exist for you, do not sign a deep-discount contract.

Rate card

Fleet customers want a rate card, not a quote per job. Publish your rates for:

  • Per-hour labour, per category of work
  • Standard service packages
  • Common repair jobs
  • Parts markup

The rate card locks in expectations. It also stops the customer negotiating every invoice.

Payment terms

Most fleet contracts specify 30-day payment. Some push for 60 or 90. Push back on anything beyond 45 unless the customer is very large and very reliable.

Cash flow kills garages faster than low margin. Do not finance a corporate customer’s working capital for free.

Reporting

Fleet customers want monthly reporting. Give them:

  • Vehicles serviced
  • Repairs done
  • Total spend
  • Downtime
  • Recommendations

The reporting alone justifies the contract for many corporates. It is also a reason they stay with you rather than shop around.

Consolidate the invoicing

One invoice per month per fleet customer, not one per job. This simplifies their payment process and reduces the chance of a rejected invoice.

Gariclaim supports consolidated monthly billing for fleet customers. Jobs done at any branch roll up into one invoice.

Renewal

Start the renewal conversation 90 days before the contract expires. Do not wait for the customer to raise it.

Bring the reporting from the year. Show them the value. Ask what would make the next year better.
